You will work at the TU/e.The group you will work for consists of 10 full/associate professors, 14 assistant professors, 2 research fellows, 2 post-docs, around 35 PhD students, and 3 secretarial staff members.The group has a very international character and regularly hosts guests from all over the world. English is the day-to-day language within the group as well as within the university
Together with two colleagues, you provide secretarial and administrative support for the chairman and all other staff members of the group. You process appointments in their electronic calendars and maintain various contacts within the TU/e. You also take care of reservations for rooms, lunches, meeting arrangements, stays of foreign guests, and declarations of expenses; and process all submitted travel permits and (travel) declarations of colleagues within the group.
Moreover, the secretariat processes student-assistant applications via Euflex throughout the year, works on education-related documents (including exams), etcetera. The secretariat also administers and processes publications in Pure, handles incoming and outgoing mail, and manages office supplies and the group’s archive. Moreover, the secretarial staff proactively takes on various other general secretarial activities.
On a rotation basis, the three secretaries also engage in taking minutes of meetings and processing orders in the TU/e purchasing system. Finally, the secretariat provides administrative support to the annual conference organized by these group
We’re looking for an enthusiastic, accurate, flexible and proactive new colleague with a professional working proficiency, adequate secretarial and/or administrative training (at least MBO level), and several years of experience in a similar function. This colleague has excellent professional skills in organization, communication and can set priorities.
The central function of the secretariat within the group ensures a lot of variety in work and therefore requires flexibility, stress resistance, and the ability to function in a team.
An excellent command of the English as well asDutch language is imperative. Digital proficiency isalsonecessary, that is, agood command of Microsoft Officeapplicationsis a must.
A meaningful job in a dynamic and ambitious university. We offer you an initial one-year contract (0.6 fte). After a mutual positive evaluation this appointment will be extended or converted into a permanent contract. The fulltime salary is in accordance with the CAO-NU and depends on knowledge en experience: minimum € 2.094,- and maximum € 2.906,- (in accordance with scale 6).The year-end bonus is 8.3% of the annual salary (equivalent to one month’s salary). The vacation allowance is 8% of the annual salary. The TU/e also offers excellent secondary employment conditions (including childcare, a minimum of 41 leave days for a 40-hour work week and excellent sports facilities).
